When COVID-19 disrupted operations worldwide, this Industrial Process Outsourcing and EPC company faced a challenge shared by every organization with a large, project-based workforce: how do you protect the health and safety of your people — a workforce of over 14,000 employees, many deployed across project sites, fabrication yards, and remote work locations — while keeping the business running?
Vaccine access during the pandemic was scarce, fragmented, and moving faster than most organizations could plan for. Government rollout priorities shifted by region and sector, supply was inconsistent, and misinformation about the vaccines themselves was widespread, fueling hesitancy among segments of the workforce. Beyond the logistical challenge, leadership recognized that protecting employees alone was not enough — a workforce cannot feel safe at work if their families are still at risk at home. The Company needed a fast, well-organized, and genuinely caring response, not a compliance exercise bolted on after the fact.
We partnered with Senior Leadership and led the enterprise-wide COVID-19 Vaccination Program from the ground up — coordinating the organization's full response across a workforce of over 14,000 employees to protect their health and welfare during one of the most disruptive periods in recent business history.
Enterprise-Wide Mobilization
The program was designed and mobilized across the entire organization, standing up a cross-functional response spanning HR, occupational health and clinic teams, safety, site and facility leaders, administration, and finance. This working group secured vaccine access and allocations through government and private-sector channels, planned rollout sequencing by site and business unit, and coordinated the on-the-ground logistics needed to plan, schedule, and execute vaccination activities at scale — from dedicated on-site vaccination hubs at major project locations to satellite sessions for smaller and remote teams.
Extending Coverage Beyond the Employee
Recognizing that employee well-being is inseparable from family well-being, the program was intentionally extended to cover employees' immediate family members — not just the workforce itself. This meant expanding registration, scheduling, and vaccination-day logistics to accommodate dependents alongside employees, and required careful coordination of vaccine supply, documentation, and site capacity to serve a population far larger than headcount alone. This reflected a broader philosophy: that a genuine duty of care goes beyond the walls of the workplace.
Communication, Trust & Vaccine Confidence
With a dispersed, project-based workforce and real vaccine hesitancy in the field, the program invested heavily in communication — multi-channel updates through site bulletins, SMS, and digital channels, myth-busting FAQs, and direct engagement with site and team leaders to answer questions and address concerns. The goal was not simply to schedule vaccination slots, but to build genuine confidence among employees and their families that the program was safe, credible, and worth participating in.
Organizational Response Under Pressure
Leading this initiative meant navigating real-time uncertainty — shifting government guidelines and eligibility tiers, limited and unpredictable vaccine supply, and the operational complexity of coordinating a project-driven, multi-site organization — while keeping business operations running and employees informed, reassured, and engaged throughout the rollout.
